You can see who a OneDrive for work or school, SharePoint, or Microsoft Teams file or folder has been shared with at any time.

See who a file or folder is shared with

  1. In your document library, select the file or folder.

  2. Above the list of files, select Share.

  3. If the item is currently shared with other people, a group appears at the bottom left of the Share window.

  • Each circular item in the bottom left represents a person or group that the file has been shared with.The Share dialog box showing the people a file is shared with.

  • Hover your mouse over this area to see the Manage access summary of who has access to the file.

  • Click the list to see more details about who can access the file. See Manage access to a file or folder later in this article for more details.

Manage access to a file or folder

When you click on the group in the bottom left of the Share window, the Manage Access panel opens.

  • From the Manage Access panel you can see the People who have access, the Groups who have access, and the Links used to give access to the file.

  • If you click on a name from the Manage Access panel, the Access summary panel opens for that person. (This includes groups that have access to the site where the file or folder resides.)

When viewing who has access to a file or folder, internal users will have their name displayed. External users will only have their email address displayed, with External User below the address.

Levels of sharing access

There are different options for sharing:

  • Direct access gives access to anyone who receives this link, whether they receive it directly from you or forwarded from someone else. This might include people outside of your organization.

  • People in <Your Organization> gives anyone in your organization who has the link access to the file, whether they receive it directly from you or forwarded from someone else.

Note: If a sharing option has been greyed out, your organization's admins may have restricted them. For example, they may choose to disable some options to prevent usable links being forwarded to others.

There are also different levels of permission:

  • Can view allows the recipient to only view the file or folder; they cannot make changes to it. This can be further restricted by selecting the Can't download option, which means they cannot save a local copy.

  • Can edit allows the recipient to view and make changes to the file or folder.

  • Can't download allows the recipient to only view the file or folder; they cannot save a local copy.

Additionally, when creating a link, you can set an expiration date, as well as a password to access the file. (You will need to provide the password to the person or people you're sharing the file with.)

Through the Manage Access panel, you can also stop sharing OneDrive or SharePoint files or folders, or change permissions.
