Use a screen reader to work with groups in Microsoft Stream

This article is for people who use a screen reader program such as Windows Narrator, JAWS, or NVDA with Windows tools or features and  Microsoft 365 products. Use Microsoft Stream with your keyboard and a screen reader to create and manage groups. We have tested it with Narrator, NVDA, and JAWS, but it might work with other screen readers as long as they follow common accessibility standards and techniques.

Notes: 

  • New Microsoft 365 features are released gradually to Microsoft 365 subscribers, so your app might not have these features yet. To learn how you can get new features faster, join the Office Insider program.

  • When you use Microsoft Stream, we recommend that you use Microsoft Edge as your web browser and Narrator as your screen reader.

    If you use Chrome or Firefox as your web browser, we recommend that you use JAWS or NVDA as your screen reader.

Create a group

Create a group to collaborate and share a collection of resources with a set of people in Microsoft Stream. Adding members to the group automatically gives them the access to the videos and channels within the group.

Before you create the group, decide whether it's a public group that anyone in your organization can join, or if it's a private group that has a limited number of people who can access the group videos.

Note: When you create a group in Stream, a new Microsoft 365 Group is created that can be used across Microsoft 365 apps. The group gets a dedicated email address, calendar, site, etc. If you already use Microsoft 365 Groups in your organization, you can start using those groups in Microsoft Stream right away.

  1. In Microsoft Stream, press the Tab key until you hear "Create," and press Enter. The Create menu opens.

  2. Press the Down arrow key until you reach the Group option, and press Enter. The Create a group dialog box opens and the focus is in the Group name field.

  3. Type a name for your group.

  4. To add a description for the group, press the Tab key until you hear "Group description," and type the group description.

  5. To define whether the group is a private or a public group, press the Tab key until you hear: "Access, Private group." Press Spacebar, then use the Up and Down arrow keys to move the focus to the group type you want, and press Enter to select.

  6. By default all group members are allowed to add and remove videos or channels and edit the permissions of the group. To restrict the editing rights, press the Tab key until you hear "On, Allow all members to contribute," and press Spacebar. Only the owner of the group can now edit and contribute to the group.

  7. To add members to the group, press the Tab key until you hear: "Search for people." Type the name or the email address of the first member. Press the Tab key until you hear the name of the contact you want to add, and press Enter. Repeat this step for all the contacts you want to add.

    Everyone you add to the group gets member privileges by default. For instructions on how to promote a member to group owner, refer to Manage group memberships.

  8. To create the group, press the Tab key until you hear "Create," and press Enter. The group is created and its group page opens.

Edit the group name or description

If you're a group owner or contributor, you can edit the group name and description.

  1. In Microsoft Stream, press the Tab key until you hear "My content," and press Enter. The My content menu opens.

  2. Press the Down arrow key until you reach the Groups option, and press Enter. The Group tab opens.

  3. To open the group you want to edit, press the Tab key until you hear the name of the group, and press Enter.

  4. To open the Edit group dialog box, press the Tab key until you hear "More actions," and press Enter. The Actions menu opens. Press the Tab key until you hear "Edit," and press Enter.

  5. Use the Tab key to move between the fields in the Edit group dialog box. Make changes to the group name or description as needed.

  6. To save your changes, press the Tab key until you hear "Save," and press Enter. The Edit group dialog box closes.

Manage group permissions

If you're a group owner or contributor, you can change the group access type to private or public. You can also restrict the group editing rights to group owners or allow all group members to edit the group details.

  1. In Microsoft Stream, press the Tab key until you hear "My content," and press Enter. The My content menu opens.

  2. Press the Down arrow key until you reach the Groups option, and press Enter. The Group tab opens.

  3. To open the group you want to edit, press the Tab key until you hear the name of the group, and press Enter.

  4. To open the Edit group dialog box, press the Tab key until you hear "More actions," and press Enter. The Actions menu opens. Press the Tab key until you hear "Edit," and press Enter.

  5. Do one or more of the following:

    • To change the group access type to private or public, press the Tab key until you hear the current type and then press Spacebar to expand the menu. Press the Up or Down arrow key until you hear the type you want, and press Enter.

    • To allow all group members to edit and contribute to the group, press the Tab key until you hear "Off, Allow all members to contribute," and press Spacebar to toggle the option on.

    • To allow just the group owners to edit and contribute to the group, press the Tab key until you hear "On, Allow all members to contribute," and press Spacebar to toggle the option off.

  6. To save your changes, press the Tab key until you hear "Save," and press Enter. The Edit group dialog box closes.

Manage group memberships

If you're a group owner or contributor, you can remove contacts from a group, promote group members to owners, or remove owner privileges. For instructions on how to add new members to an existing group, refer to Add new members to a group.

  1. In Microsoft Stream, press the Tab key until you hear "My content," and press Enter. The My content menu opens.

  2. Press the Down arrow key until you reach the Groups option, and press Enter. The Group tab opens.

  3. To open the group you want to edit, press the Tab key until you hear the name of the group, and press Enter.

  4. To open the Membership tab, press the Tab key until you hear "Membership tab," and press Enter.

  5. A list of group owners opens. If you're removing an owner from the group or owner privileges from a member, you can skip this step.

    If you're removing a member from the group or promoting a member to group owner, press the Tab key until you hear "Role, Owner," and press Enter. Press the Down arrow key until you hear "Member," and press Enter. The list of group members opens.

  6. Press I until you hear the name of the person whose membership you want to modify. With Narrator, use the scan mode to navigate the list.

  7. Press the Tab key until you hear "More actions," and press Enter. The Actions menu opens.

  8. Do one of the following:

    • To remove the person from the group, press the Tab key until you hear "Remove from group," and press Enter.

    • To remove the person's owner privileges, in the list of group owners, press the Tab key until you hear "Make member," and press Enter.

    • To promote the person to group owner, in the list of group members, press the Tab key until you hear "Make owner," and press Enter.

Add new members to a group

  1. Navigate to the Membership tab as instructed in Manage group memberships.

  2. Press the Tab key until you hear "Add member," and press Enter.

  3. Press the Tab key until you hear: "Add group members, edit."

  4. Type the name or email address of the person you want to add to the group. The list of matching contacts is updated as you type. Press the Tab key until you find the correct contact, and press Enter to select. Repeat this step for all new members you want to add.

    Everyone you add to the group gets member privileges by default. For instructions on how to promote a member to group owner, refer to Manage group memberships.

Delete a group

When you no longer need a group, you can delete it.

Important: Deleting a group in Stream will also permanently delete the Microsoft 365 Group, and everything associated with the group. This includes videos, conversations, files, and content in all the  Microsoft 365 Groups enabled services like Outlook, SharePoint, Microsoft Teams, Microsoft Planner, Yammer, etc.

  1. In Microsoft Stream, press the Tab key until you hear "My content," and press Enter. The My content menu opens.

  2. Press the Down arrow key until you reach the Groups option, and press Enter. The Groups tab opens.

  3. To open the group you want to delete, press the Tab key until you hear the name of the group, and press Enter.

  4. Press the Tab key until you hear "More actions," and press Enter. The Actions menu opens.

  5. Press the Tab key until you hear "Delete," and press Enter.

  6. To confirm deleting the group, press the Tab key until you hear "I want to delete this Office 365 group," and press Spacebar. Press the Tab key until you hear "Delete group," and press Enter.
