Use a screen reader to share and co-present with PowerPoint Live in Microsoft Teams

This article is for people who use a screen reader program such as Windows Narrator, JAWS, or NVDA with Microsoft 365 products. Use Microsoft Teams with your keyboard and a screen reader to share and co-present PowerPoint Live presentations. We have tested it with JAWS and NVDA, but it might work with other screen readers as long as they follow common accessibility standards and techniques.

  • New Microsoft 365 features are released gradually to Microsoft 365 subscribers, so your app might not have these features yet. To learn how you can get new features faster, join the Office Insider program.

  • You can easily access the keyboard shortcuts list from within Microsoft Teams. Press Ctrl+E to go to the Search field, type /keys, and then press Enter.

  • Recent versions of JAWS no longer have the virtual PC cursor mode set as default for Microsoft Teams. For instructions on how to switch the virtual PC cursor mode on, go to Enable the JAWS virtual cursor.

Share a presentation

  1. When in a Microsoft Teams meeting, press the Tab key until you hear "Meeting controls," press the Right or Left arrow key until you hear "Share, button," and press Enter to open the Share content pane.

  2. To start sharing a PowerPoint Live presentation, press the Tab key until you hear: "Share a PowerPoint file." The pane contains a list of recent PowerPoint presentations you can browse with the Up and Down arrow keys. When you hear the one you want, press Enter to select it. If the file you want is not on the list, press the Tab key until you hear: "Browse OneDrive." You can either press Enter to browse the contents of your OneDrive, or press the Down arrow key once and press Enter to browse your local drive.

  3. The selected presentation is shared with your meeting audience. To navigate between slides, press the Tab key or Shift+Tab until you hear "Navigate forward" or "Navigate back," and press Enter. You can also browse and move between sides using the selector at the bottom of the presenter view. To do so, press the Tab key until you hear "Slide navigator," followed by the title and number of the current slide, followed by the number of slides in the presentation. You can then browse the slides with the Left and Right arrow keys. When you find the one you want, press Enter to navigate to that slide.

  4. To read notes for the currently open slide, press the Tab key until you hear "Slide notes," and use your screen reader's navigation commands to browse the notes.

  5. To stop presenting, press the Tab key or Shift+Tab until you hear "Meeting controls," then press the Left or Right arrow key until you hear "Stop presenting," and press Enter.

Co-present a presentation

If you have multiple presenters, control of the presentation can be switched easily. To assume control of an ongoing PowerPoint Live presentation, press the Tab key until you hear "Meeting controls," then press the Left or Right arrow key until you hear "Take control" and press Enter.
