Use shared display mode in meeting rooms

Shared display mode allows you to connect your laptop to audio and video sources in a bring-your-own-device (BYOD) meeting room, sharing content directly from your screen. BYOD rooms are often outfitted with televisions, speakerphones, smart speakers, or projectors you can connect to. Shared display mode streamlines content sharing and frees you from worrying about pop-up notifications or other windows causing distractions.

Manually Activate Shared Display Mode

In a meeting, you can use the View menu to add a shared display. This activates shared display mode.

The view switcher, denoted by the "View" button in the Teams meeting menu bar, contains an option to add a shared display mode under the "More Options" sub menu.

Use room audio before joining a meeting

You can also activate shared display mode before you join a meeting. Connect your laptop to the audio and video devices in the BYOD meeting room and ensure they are properly selected in the meeting options.

  1. Connect your laptop to the TV and any external audio devices (like a speakerphone) using the necessary cables. Contact your IT admin if you are unsure which cables are required.

  2. Launch Teams on your laptop and join a meeting. For more information about joining meetings, see Join a meeting in Microsoft Teams.

  3. In the pre-join screen, select Room audio > the name of the audio device, under Connected room devices.Room audio options

  4. Join the meeting. 

After joining the meeting, you'll be grouped under the room name in the Participants list.

Shared display mode will automatically detect the connected screen and broadcast only what is in your meeting window directly onto the TV, whether it be the gallery view of other attendees and their video feeds or any content you or other participants are sharing.

Note: Shared display mode will function the same whether your preferences are set to duplicate or extend your displays in your laptop's system settings.

Meeting controls will remain at the top of your device's screen, just like with normal screen sharing.

Automatically Activate Shared Display Mode

When you connect your laptop to a room's audio peripheral through USB, Teams automatically detects it and recommends using that peripheral on the pre-join screen. The following scenarios may help you streamline your entry into Shared Display Mode:

  1. If a connected peripheral is known to be in a shared space (for example, if it's been used by multiple unique users), Teams will suggest the Room Audio option from the meeting pre-join screen.

  2. If a connected peripheral is known to Microsoft as a device found commonly in meeting rooms, Teams will also suggest the Room Audio option to you.

  3. When connected peripherals fulfill both of the conditions above, or if the peripheral has been associated to a BYOD room by an admin, Teams will automatically transition the user to the Room Audio option.

Known issues

  • When using Together mode, you'll see a blank screen on the room host view on your laptop.

  • When switching between participant video galleries on the room host view, the gallery view on the shared display mode won't change.

  • When using PowerPoint Live cameo during shared display mode, you may experience issues when turning on your video.

  • Pinning a participant’s video from the desktop is not supported. For now, select More options Microsoft Teams more options iconnext to the participant on the shared display mode.

  • Breakout rooms aren't supported when in shared display mode.
