You can share whiteboard with users external to your company so they can collaborate with you. There are a few requirements that must be met for external sharing to be possible:
-
Business-to-business only: the user you are sharing with must have an AAD account.
-
Guest only: the user you are sharing with must have a guest account in your tenant (if Business-to-business Invitation Manager is enabled, see below).
-
Your company must allow sharing files with external users.
Note: If Business-to-business Invitation Manager is enabled in your tenant, when a whiteboard is shared with an external user and that user does not have an existing guest account in your tenant then a guest account will automatically be created for them. Admins, please go here for more info.
If the above conditions are met, then you can share with external users by:
-
Navigating to the whiteboard you want to share (or, navigate to the whiteboard file inside OneDrive).
-
Open the share menu in the top right of the screen (or, next to the file inside OneDrive).
-
Enter the user's email address you wish to share with.
-
Click "Send."
Sharing with external participants is only possible through "Share with specific people" links - i.e. company-wide share links will not work with external participants, you must designate the external user in the share dialog to create a unique share link.
When an external user accesses the whiteboard from the link, they will be signed into their guest account. They will need to utilize the share link again to access the whiteboard in the future, as it will not show up in the board picker of their standard account.
