Authors can invite other authors to edit the same page or news post at the same time. While coauthoring is happening, authors can see real time changes made by others as they happen, with presence available at the page, section and web part levels.

Important: This functionality will start rolling out to organizations in July 2024.

Sharing a page or news post

There are two methods to share a page or news post. You may share the individual page or news post, or share the site if you plan to work with others on multiple pages or other content on the site. Selecting the Copy option lets you copy a sharing link to be pasted elsewhere, like a Teams chat or another document. 

Sharing a page or news post

To share a page, select the Share button at the top of the page. The Share page option from the drop-down opens the familiar Sharing dialog experience. You can send an email to your share recipients with a link to the page right from the page.

Sharing the site

If you're a SharePoint site owner, you can give other people access to the site by adding them as owners, members, or visitors. For a detailed walkthrough, see Share a site.

Coauthoring on a page or news post

After you share your page or news post, you can work on that page at the same time as others. If anyone else is working on the page or news post, you'll see their presence and the changes they're making. We call this coauthoring, or real-time collaboration.

  • Select where you'd like to make changes and start editing. If other people are editing the page or news post, you'll see their changes real-time.

  • Presence show you exactly where each person is working in the page including which section and web part.

  • Multiple authors can simultaneously edit the same page and section, but coauthors cannot edit the same web part at the same time. While someone else is editing a web part, the web part will be locked for editing. Other authors can still move or delete the web part or section.

  • Changes made by authors are automatically saves every few seconds. If authors want to exit edit mode, they can use Save and close.

Notes: 

  • The Save as draft command has been removed as it is no longer needed to check in the draft for another user to edit.

  • ​​​​​​​The number of coauthoring editing sessions is limited to 100 at a time.

Publishing while others are editing

If an author attempts to publish or post a page while others are actively editing, the author will see a warning message that others are editing. If desired, the author can proceed with publishing and posting.

The same behavior applies for scheduling and submitting for approvals.

Reverting changes

Undo

To undo changes, authors can use Undo to undo the most recent changes by the current user in the current browser session. To undo more changes or changes made by other users, authors can restore a prior version from Version History ​​​​

Note: The Discard changes command has been removed as it is no longer needed. Authors can use Undo and Version History to revert to a previous version.

Version History

You can see the version history of a page or news post and compare versions, including comparing changes visually on the page. You can see when a page was changed and who changed it. If you need to, you can restore a previous version or delete a previous version.
