If a meeting organizer has auto scheduling enabled in their dashboard settings, new Outlook for Windows Scheduling poll will schedule meetings automatically as soon as consensus is reached. Within new Outlook​​​​​​​ Scheduling poll checks the poll status periodically, and when a consensus is reached the organizer is notified and a meeting invite is sent to all the attendees. 

Auto scheduling rules  

These rules are applied to determine the time that the meeting is scheduled for: 

  • Only the votes of required attendees are considered in determining consensus: votes of optional attendees are discarded.

  • If a consensus is reached on multiple times for the votes of required attendees, the votes of optional attendees are then considered. The meeting is scheduled for the best available time for both required and optional attendees.

  • If more than one time qualifies, the earliest time takes precedence.

If auto schedule is disabled, the organizer can manually schedule the meeting on the voting page by selecting Schedule meeting for a suitable time. 

If auto scheduling is enabled, the organizer can manually schedule the meeting on the voting page before consensus is reached.  

Calendar holds 

If the organizer has enabled calendar holds in their dashboard settings, the holds will be removed from the Calendar when the finalized meeting is auto scheduled.
