Use a screen reader to organize notebooks, sections, and pages in OneNote

Use OneNote with your keyboard and a screen reader to organize your notebooks, pages, sections, and section groups. We have tested it with Narrator, JAWS, and NVDA, but it might work with other screen readers as long as they follow common accessibility standards and techniques. You'll learn how to create and add pages, sections, and additional notebooks when you need them, and even rename, move, or delete them.

Create a notebook

  1. In OneNote, press Ctrl+G to open the notebook navigation.

  2. Press the Tab key or Shift+Tab until you hear: “Add notebook button.” Press Spacebar to select. You land on the New tab of the File menu. On this tab, you can select where to store the new notebook and name the notebook.

  3. Use the Tab key, Shift+Tab, and the arrow keys to move to the location where you want to save the notebook. The screen readers announce the locations as you move. Press Spacebar to select.

    Note: If you save the notebook to OneDrive or other online location, you might have to sign in if you're not signed in already.

  4. After you’ve selected a location, the focus moves to the Notebook Name text field. Type a name for the notebook, and press Enter.

  5. If you're prompted to invite others to work on the notebook with you, press the Tab key until you hear "Not now," and then press Enter. You can share your notebook later. For instructions, go to Use a screen reader to share and collaborate on notebooks in OneNote.

The notebook is created. A new section with the default name "New Section 1" and one empty, unnamed page are added. The focus is placed in the page title text field.

Create a section

A typical OneNote notebook is made up of one or more notebook sections. Within each section are the individual pages and subpages on which you take notes. 

  1. In a notebook, to create a new section, press Ctrl+T. The section is created and one empty, untitled page is added automatically to the section. The focus is placed in the section tab name text field.

  2. Type a name for the section, and then press Enter. The section is named, and the focus is moved to the page title text field.

Create a section group

If your notebook has too many sections to fit the screen or you just want to keep related sections and their content together, consider using section groups. A section group can hold as many sections as you want, along with all their pages, so you won’t lose a thing.

  1. In a notebook, press Ctrl+Shift+G to move the focus to the row of section tabs.

  2. Press Shift+F10 or the Windows Menu key to open the context menu.

  3. Press the Down arrow key until you hear: “New section group.” Press Spacebar to select.

  4. Type a name for the section group, and press Enter. The section group is created, and you can now add sections to the group. For instructions, go to Add sections to a section group.

Add sections to a section group

  1. Press Ctrl+Shift+G to move the focus to the row of section tabs.

  2. Press the Right or Left arrow key until you hear the name of a section you want to move into a section group, and then press Shift+F10 or the Windows logo key to open the context menu.

  3. Press the Down arrow key until you hear "Move or copy," and press Enter. The Move or Copy Section dialog box opens, and the focus is on the search text field.

  4. To find the section group where you want to move the selected section, do one of the following:

    • To search for the section group, type your search words, for example, the name or parts of the section group name. The search results are updated as you type. To browse the search results, press the Down arrow key until you hear the result you want, and then press Enter.

    • To browse the list of available section groups, press the Down arrow key until you hear the name of the section group you want, and then press Enter.

The section is moved to the section group. The focus moves to the section group.

Tip: To navigate from a section group back to the main notebook view or the parent section group, press Ctrl+Shift+G, and then press the Left arrow key once. You hear: "Navigate to parent section group." Press Enter to select.

Create a page

In OneNote, you can add as much content to a page as you’d like—you’ll never run out of space. If you’d like to get organized, you can create additional pages at any time.

  1. Navigate to the section where you want to add a new page, and press Ctrl+N. The page is created, and the focus is placed in the page title text field.

  2. Type a title for the new page.

Create a subpage 

Subpages are a good way to group and organize your notes. For example, if you have annual and monthly meeting notes, the annual meeting notes can be your main page and you can demote the monthly meeting notes, so they become subpages of the annual meeting notes.

Before you create a subpage, you’ll need at least two pages: A page that will be your main page, and a page that will be the subpage.

  1. To navigate to the page you want to make a subpage, press Ctrl+Alt+G, and then press the Up or Down arrow key until you find the page you want.

  2. To make the selected page a subpage, press Shift+F10 or the Windows Menu key to open the context menu, press the Up or Down arrow key until you hear "Make subpage," and then press Enter.

  3. To move the subpage under the right main page, follow the instructions in Change the page order.

Rename a notebook

  1. In OneNote, press Ctrl+G to open the notebook navigation.

  2. Press the Up or Down arrow key until you hear the name of the notebook you want to rename.

  3. Press Shift+F10 or the Windows Menu key to open the context menu.

  4. Press the Down arrow key until you hear: “Properties.” Press Spacebar to select.

  5. The Notebook Properties dialog box opens, and the focus is on the Display name field. Type a new name, and press Enter. The notebook is renamed.

Rename a section or a section group

  1. In OneNote, press Ctrl+Shift+G to move the focus to the row of section tabs.

  2. Use the Right and Left arrow keys to navigate to the section or section group you want to rename.

  3. Press Shift+F10 or the Windows Menu key to open the context menu. You hear: “Rename.” Press Spacebar.

  4. Type a new section or section group name, and press Enter.

Rename a page

  1. In a notebook, press Ctrl+Alt+G to move the focus to the list of pages.

  2. Press the Up or Down arrow key until you hear the name of the page you want to rename.

  3. Press Shift+F10 or the Windows Menu key to open the context menu. You hear: “Rename." Press Spacebar.

  4. Type a new page name.

Move or copy a section or a page

OneNote isn't limited to any particular organizational style. You can arrange your notes in any way that is meaningful to you, and if you change your mind, it's easy to change the way your notes are organized.

For example, you can arrange your section tabs and pages in an alphabetical order. You can move a section to another notebook or section group or move a page to a section in any available notebook. 

If you need a particular section or page in several places, you can move a copy of the whole section or page anywhere you want without having to copy-paste anything.

Change the order of section tabs

  1. Press Ctrl+Shift+G to move the focus to the row of section tabs.

  2. Press the Right or Left arrow key until you hear the name of the section you want to move to the right or left on the row of section tabs.

  3. Press Shift+Alt+Right or Left arrow key to move the selected section to the right or left.

Change the page order

  1. Press Ctrl+Alt+G to move the focus to the list of pages.

  2. Press the Up or Down arrow key until you hear the name of the page you want to move up or down on the list.

  3. Press Shift+Alt+Up or Down arrow key to move the selected page up or down.

Move or copy a section to another notebook or section group

  1. In a notebook, press Ctrl+Shift+G to move the focus to the row of section tabs.

  2. Press the Right or Left arrow key until you hear the name of the section you want to move or copy.

  3. Press Shift+F10 or the Windows Menu key to open the context menu.

  4. Press the Down arrow key until you hear: “Move or copy.” Press Spacebar to select. The Move or Copy Section dialog box opens. The focus is on the search text field.

  5. To find the notebook or section group where you want to move or copy the selected section, do one of the following:

    • To search for the destination, start typing your search words, for example, the name or parts of the notebook name. The search results are updated as you type. To browse the search results, press the Down arrow key until you hear the destination you want.

    • To browse the list of available notebooks and section groups, press the Down arrow key until you hear the name of the destination you want.

  6. When on the right destination, do one of the following:

    • To move the section, press the Tab key until you hear "Move button," and then press Enter.

    • To copy the section, press the Tab key until you hear "Copy button," and then press Enter.

Move or copy a page to another notebook or section

  1. In a notebook, press Ctrl+Alt+G to move the focus to the list of pages.

  2. Press the Up or Down arrow key until you hear the name of the page you want to move or copy.

  3. Press Ctrl+Alt+M. The Move or Copy Pages dialog box opens. The focus is on the search text field.

  4. To find the notebook or section where you want to move or copy the selected page, do one of the following:

    • To search for the destination, start typing your search words, for example, the name or parts of the section name. The search results are updated as you type. To browse the search results, press the Down arrow key until you hear the destination you want.

    • To browse the list of available notebooks, sections, and section groups, press the Down arrow key until you hear the name of the destination you want.

  5. When on the right destination, do one of the following:

    • To move the page, press the Tab key until you hear "Move button," and press Enter.

    • To copy the page, press the Tab key until you hear "Copy button," and press Enter.

Delete a notebook

If you’re sure you no longer need a particular notebook, you can delete it from your computer's hard drive or OneDrive. If you are sharing the notebook, make sure you let your colleagues know you are deleting the notebook.

Note: Once a notebook has been deleted from the hard drive, it cannot be recovered. Consider backing up your existing notebooks before deleting them. For instructions, go to Back up notes.

A notebook deleted from your OneDrive directory is moved to the OneDrive Recycle bin. The deleted file is kept in the OneDrive Recycle bin for 30 days for personal accounts. If you're signed in with a work or school account, items in Recycle bin are automatically deleted after 93 days, unless your IT administrator has changed the setting. Before the files are automatically deleted, you can restore the notebook to OneDrive or manually delete it for good from the OneDrive Recycle bin.

Delete a notebook from your computer's hard drive

  1. On your computer, to open File Explorer, press the Windows logo key+E or press the Windows logo key, type File Explorer, and then press Enter.

  2. In File Explorer, use the arrow keys to navigate the folders and items until you find the notebook you want to delete.

    Tip: The notebooks are usually saved in the OneNote Notebooks subfolder under Documents.

  3. When on the correct notebook, press Shift+F10 or the Windows Menu key to open the context menu.

  4. Press the Down arrow key until you hear: “Delete.” Press Enter to select. The notebook is removed.

  5. To remove the deleted notebook from your computer permanently, navigate to Recycle Bin on your computer’s desktop, press Shift+F10 or the Windows Menu key, press the Down arrow key until you hear "Empty recycle bin," and press Enter. You're prompted to confirm deleting the content permanently. Press the Tab key until you hear "Yes," and then press Enter.

Delete a notebook from OneDrive

  1. In OneNote, open the notebook you want to delete.

  2. Open OneDrive and use the Tab key and the arrow keys to locate the notebook in your list of documents or in the Notebooks folder.

  3. When the focus is on the notebook you want to delete, press Shift+F10 or the Windows Menu key to open the context menu.

  4. Press the Down arrow key until you hear "Delete," and press Enter. You're prompted to confirm moving the notebook to the recycle bin. Press the Tab key until you hear "Delete," and press Enter.

  5. Return to the deleted notebook in OneNote.

  6. In OneNote, press Ctrl+G to open the notebook navigation. Press the Down or Up arrow key until you hear the name of the deleted notebook.

  7. Press Shift+F10 or the Windows Menu key to open the context menu, press the Up arrow key until you hear "Close this notebook," and then press Enter.

    Note: Closing the deleted notebook in your list of notebooks is important or else OneNote will try to sync with a notebook that no longer exists, and you’ll get a syncing error.

  8. If you want to delete the notebook permanently from your OneDrive or restore it, go to OneDrive and do one of the following:

    • To restore the notebook to OneDrive, press the Tab key until you hear "List of folders and files," followed by the name of the item currently in focus. Press the Up or Down arrow key until you hear the name of the notebook you want to restore, press Shift+F10 or the Windows Menu key, press the Down arrow key until you hear "Restore," and then press Enter.

    • To permanently delete the notebook, in OneDrive, press the Tab key until you hear "Empty recycle bin," and press Enter. You're prompted to confirm deleting the items permanently. Press the Tab key until you hear "Yes," and then press Enter. 

Delete a section or a section group

  1. In a notebook, press Ctrl+Shift+G to move the focus to the row of groups.

  2. Press the Right or Left arrow key until you hear the name of the section or section group you want to remove.

  3. Press Shift+F10 or the Windows Menu key to open the context menu.

  4. Press the Down arrow key until you hear “Delete,” and then press Enter. You're prompted to confirm removing the section or section group. Press the Left arrow key until you hear "Yes button," and press Enter. The section or section group is removed.

Delete a page

  1. In a notebook, press Ctrl+Alt+G to move the focus to the list of pages.

  2. Press the Up or Down arrow key until you hear the name of the page you want to remove.

  3. Press Shift+F10 or the Windows Menu key to open the context menu.

  4. Press the Down arrow key until you hear “Delete,” and press Enter. The page is removed.

Use OneNote for Mac with your keyboard and VoiceOver, the built-in macOS screen reader, to organize information in your notebooks, pages, sections, and section groups. You'll learn how to create and add pages, sections, and additional notebooks when you need them, and even rename, move, or delete them.

Create a notebook

To create a new notebook, you need to sign into your Microsoft account in OneNote so that you can save your notebook to OneDrive. For instructions on how to open and sign into OneNote for Mac, refer to Basic tasks using a screen reader with OneNote.

  1. In OneNote, press Control+Command+N. The window for creating new notebooks opens. The focus is on the Name: text field.

  2. Type a name for the new notebook.

  3. To select a cloud storing location associated with your account, such as OneDrive or SharePoint, press the Tab key until you hear the name of the default save location, followed by "Microsoft popup button, select a location where your notebook will be created.” To change the default location, press Control+Option+Spacebar, use the Up or Down arrow key to navigate to the location you want, and then press Control+Option+Spacebar.

  4. If you want to change the color of your notebook, press the Tab key or Shift+Tab until you hear: "Entering notebook color gallery scroll area." Press Control+Option+Right or Left arrow key until you hear the color you want. The color is applied automatically to your notebook.

  5. To create the notebook, press the Tab key until you hear “Create,” and then press Control+Option+Spacebar.

The new notebook opens. A new section with the default name "New Section 1" and one empty, unnamed page are added. The focus is placed in the page title text field.

Create a section

  1. Press Control+Shift+G to move the focus to the sections pane.

  2. Press the Up or Down arrow key until you hear the name of a section you want to move into a section group, and then press Shift+F10 or Shift+Control+Option+M to open the context menu.

  3. Press the Down arrow key until you hear "Move section," and press Control+Option+Spacebar. The Move this section to a new notebook dialog box opens.

  4. Press the Down arrow key until you hear the name of the section group you want, and then press Return. The section is moved to the section group. The focus returns to the sections pane.

Create a page

In OneNote, you can add as much content to a page as you’d like—you’ll never run out of space. If you’d like to get organized, you can create additional pages at any time. 

  1. In a notebook, press Control+Shift+G to move the focus to the sections pane. 

  2. Press the Up or Down arrow key until you hear the name of the section where you want to add the new page.

    Note: If the section is located within a section group, press the Right arrow key to expand the section group.

  3. Press Command+N. A new page is created, and the focus is placed in the page title text field.

  4. Type the page title.

Rename a notebook

You can rename a notebook in OneDrive.

  1. In a web browser, go to www.onedrive.live.com and sign in.

  2. In OneDrive, use the arrow keys to navigate to the notebook file or the folder containing the notebook file you want to rename. The folder might be called, for example, "Notebooks." To open a folder, press Return. If necessary, press Shift+Control+Option+Down arrow key to interact with the list of files.

  3. When on the correct file, press Shift+F10 or Shift+Control+Option+M to open the context menu. Press the Down arrow key until you hear "Rename, interactive," and then press Control+Option+Spacebar. The Rename dialog box opens. The focus is on the notebook name text field.

  4. Type a new notebook name and press Return. The notebook is renamed.

Rename a section or a section group

  1. In a notebook, press Control+Shift+G to move the focus to the sections pane.

  2. Press the Up or Down arrow key until you hear the name of the section or section group you want to rename.

  3. To open the context menu, press Shift+F10 or Control+Option+Shift+M.

  4. Press the Down arrow key until you hear: "Rename." To select, press Control+Option+Spacebar. The focus moves to the section or section group name text field.

  5. Type a new section or section group name and press Return.

Rename a page

  1. In a notebook, press Control+Shift+G to move the focus to the sections pane.

  2. Press the Up or Down arrow key until you hear the name of the section that contains the page you want to rename.

  3. Press Control+Command+G to move the focus to the pages pane. You hear: “List of pages, table.”

  4. Press the Up or Down arrow key until you hear the name of the page you want to rename.

  5. To rename the page, press Shift+Command+T. The focus moves to the page title field. You hear: “Rename page."

  6. Type a new page name, and press Return.

Move or copy a section or a page

OneNote isn't limited to any particular organizational style. You can arrange your notes in any way that is meaningful to you, and if you change your mind, it's easy to change the way your notes are organized.

For example, you can arrange your sections and pages in an alphabetical order. You can move a section to another notebook or section group or move a page to a section in any available notebook.

  1. In a notebook, press Control+Shift+G to move the focus to the sections pane.

  3. To move the section up or down, press Command+Option+Up or Down arrow key.

Change the page order

  1. In a notebook, press Control+Command+G to move the focus to the pages pane.

  2. Press the Up or Down arrow key until you hear the name of the page you want to move up or down in the list of pages.

  3. To move the page up or down, press Command+Option+Up or Down arrow key.

Move or copy a section to another notebook or section group

  1. In a notebook, press Control+Shift+G to move the focus to the sections pane.

  2. Press the Up or Down arrow key until you hear the name of the section you want to move or copy.

  3. To open the context menu, press Shift+F10 or Control+Option+Shift+M.

  4. Do one of the following:

    • If you want to copy the section, press the Down arrow key until you hear "Copy section to," and press Control+Option+Spacebar. The Copy this section to a new notebook… dialog box opens.

    • If you want to move the section, press the Down arrow key to navigate to Move Section To… and to select, press Spacebar. The Move this section to a new notebook… dialog box opens.

  5. Press the Up or Down arrow key until you hear the name of the notebook or section group where you want to move or copy the section.

  6. When on the correct destination, do one of the following:

    • To move the section, press the Tab key until you hear "Move," and press Control+Option+Spacebar.

    • To copy the section, press the Tab key until you hear "Copy," and press Control+Option+Spacebar.

Move or copy a page to another notebook or section

  1. In a notebook, press Control+Shift+G to move the focus to the sections pane.

  2. Press the Up or Down arrow key until you hear the name of the section that contains the page you want to move or copy.

  3. Press Control+Command+G to move the focus to the pages pane.

  4. Press the Up or Down arrow key until you hear the name of the page you want to move or copy.

  5. When on the page, do one of the following:

    • If you want to copy the page, press Shift+Command+C. The Copy this page to a new section… dialog box opens.

    • If you want to move the page, press Shift+Command+M. The Move this page to a new section… dialog box opens.

  6. Press the Up or Down arrow key until you hear the name of the notebook or section where you want to move or copy the page.

  7. When on the right destination, do one of the following:

    • To copy the page, press the Tab key until you hear "Copy," and then press Control+Option+Spacebar.

    • To move the page, press the Tab key until you hear "Move," and then press Control+Option+Spacebar.

Delete a notebook

  6. When on the correct file, press Shift+F10 or Shift+Control+Option+M to open the context menu. Press the Down arrow key until you hear "Delete, interactive," and then press Control+Option+Spacebar. You're prompted to confirm moving the notebook to the recycle bin.

  7. To move the notebook to the OneDrive Recycle bin, press the Tab key until you hear "Delete button," and then press Control+Option+Spacebar.

  8. If you want to delete the notebook for good from OneDrive or restore it, press Shift+Tab until you hear "Link," followed by the name of the current page, for example, "Link, recent." Press the Up or Down arrow key until you hear "Link, recycle bin," and press Control+Option+Spacebar. Then do one of the following:

    • To restore the notebook, press the Tab key or Shift+Tab until you hear: "List of folders, files, or items." Press the Down arrow key until you hear the name of the notebook you want to restore. Press Shift+Tab until you hear "Delete," and then press Control+Option+Right arrow key once. You hear: "Restore." Press Control+Option+Spacebar to restore the notebook to OneDrive.

    • To permanently delete the notebook, in OneDrive, press the Tab key until you hear "Empty recycle bin," and press Control+Option+Spacebar. To confirm permanently deleting all files from Recycle bin, press the Tab key until you hear "Yes," and press Control+Option+Spacebar.

Delete a section or a section group

  1. In a notebook, press Control+Shift+G to move the focus to the sections pane.

  2. Press the Up or Down arrow key until you hear the name of the section or sections group you want to remove.

  3. When on the correct section or section group, press Delete. A notification opens prompting you to confirm moving the section or section group to Deleted Notes.

  4. To confirm the action, press the Tab key until you hear "Yes," and then press Return. The section or section group is moved to Deleted Notes.

  5. If you want to permanently delete the section or section group from Deleted Notes, do the following:

    1. Press Control+Option+M to move the focus to the menu bar. Then press Control+Option+Right arrow key until you hear "Notebooks," and press Control+Option+Spacebar.

    2. Press the Down arrow key until you hear "Deleted notes, submenu," and press the Right arrow key once.

    3. Press the Down arrow key until you hear "Empty deleted notes," and then press Control+Option+Spacebar. You're prompted to confirm deleting the items.

    4. To empty Deleted Notes, press the Tab key until you hear "Delete," and press Control+Option+Spacebar.

Delete a page

  1. In a notebook, press Control+Shift+G to move the focus to the sections pane.

  2. Press the Up or Down arrow key until you hear the name of the section that contains the page you want to remove.

  3. Press Control+Command+G to move the focus to the pages pane.

  4. Press the Up or Down arrow key until you hear the name of the page you want to remove.

  5. When on the right page, press Delete or Command+Delete. The page is deleted.

Use OneNote for iOS with VoiceOver, the built-in iOS screen reader, to organize information in notebooks, pages, and sections. You can add, rename, move, remove, and reorder pages and sections, and add and reorder notebooks.

Create a notebook

  1. In OneNote for iOS, tap near the bottom of the screen with four fingers, swipe left until you hear "Notebooks tab," and then double-tap the screen.

  2. Tap near the top of the screen with four fingers, swipe right until you hear "New notebook, button," and double-tap the screen. The Create Notebook dialog box opens. The focus is on the New Notebook Name text field. You hear: "Name, text field, is editing."

  3. Use the on-screen keyboard to type the name of the new notebook.

  4. When you're done, tap near the bottom of the screen with four fingers, swipe left until you hear "Done," and double-tap the screen.

The new notebook opens. A section with the default name "New Section 1" is added automatically to the notebook. The focus is on the new section.

Create a section

A typical OneNote notebook is made up of one or more notebook sections. Within each section are the individual pages and subpages on which you take notes. 

  1. In the Sections list of your notebook, swipe left or right until you hear "New section button," and then double-tap the screen. The focus moves to the section name text field. You hear: "Text field, is editing."

  2. Use the on-screen keyboard to type the new section name.

  3. When you're done, tap near the bottom of the screen with four fingers, swipe left until you hear "Done," and double-tap the screen.

Tips: 

  • To navigate to the Sections list from the page list, tap near the top of the screen with four fingers. You hear "Back to section list," followed by the name of the notebook, and "Back button." Double-tap the screen.

  • To navigate to the Sections list from a page canvas, tap near the top of the screen with four fingers. You hear "Back to page list," followed by the notebook name, and "Back button." Double-tap the screen, tap near the top of the screen with four fingers, and then double-tap the screen again.

Create an unformatted page

In OneNote, you can add as much content to a page as you’d like—you’ll never run out of space. If you’d like to get organized, you can create additional pages at any time. 

Tip: In OneNote for iOS, you can also quickly create a new page with a list. For instructions, refer to Use a screen reader with the list view in OneNote.

  1. Navigate to the section where you want to add a new, unformatted page, and double-tap the screen. The Pages list opens.

  2. Swipe right until you hear "New page button," and double-tap the screen. You hear: "Page title."

  3. Double-tap the screen and use the on-screen keyboard to type the page name.

  4. When you're done, tap near the bottom of the screen with four fingers, swipe left until you hear "Return," and double-tap the screen. The focus moves to the page canvas.

Rename a section

  1. In the Sections list, tap near the top of the screen with four fingers, swipe right until you hear "Edit," and double-tap the screen. The editing mode is activated.

  2. Swipe right until you hear the name of the section you want to rename.

  3. Swipe up or down until you hear "Rename," and then double-tap the screen. The focus is on the section name text field. You hear: "Text field, is editing."

  4. Use the on-screen keyboard to type the new section name.

  5. When you're done, tap near the bottom of the screen with four fingers, swipe left until you hear "Done," and then double-tap the screen.

Rename a page

  1. In the Pages list, swipe left or right until you hear the name of the page you want to rename, and then double-tap the screen. The page opens.

  2. Swipe left or right until you hear "Page title," followed by the current title. Double-tap the screen.

  3. Use the on-screen keyboard to modify the page name.

  4. When you're done, tap near the bottom of the screen with four fingers, swipe left until you hear "Return," and then double-tap the screen.

Move or copy sections or pages

OneNote isn't limited to any particular organizational style. You can arrange your notes in any way that is meaningful to you, and if you change your mind, it's easy to change the way your notes are organized.

For example, you can arrange your notebooks, sections, and pages in an alphabetical order. You can even move a section to another notebook or move a page to another section.

If you need a particular page in several places, you can move a copy of the whole page anywhere you want without having to copy-paste anything.

Reorder notebooks, sections, and pages

You can change the order of your notebooks, sections, and pages, for example, if you'd like to place the most important ones at the top of the item list.

  1. In the Notebooks tab, or Sections or Pages list, tap near the top of the screen with four fingers, swipe right until you hear "Edit button," and then double-tap the screen.

  2. Swipe right until you hear "Reorder," followed by the name of the notebook, section, or page you want to move up or down in the list of notebooks, sections, or pages.

  3. Double-tap and hold the screen until you hear a sound. Drag your finger up or down the screen until you hear the location where you want to move the item, and then lift your finger off the screen.

  4. When you're done, tap near the top of the screen with four fingers, swipe right until you hear "Done button," and then double-tap the screen.

Move a section to another notebook

  1. In the Sections list, tap near the top of the screen with four fingers, swipe right until you hear "Edit," and double-tap the screen. The editing mode is activated.

  2. Swipe right until you hear the name of the section you want to move to another notebook.

  3. Swipe up or down until you hear "Move," and then double-tap the screen. You hear: "Move this section to another notebook."

  4. Swipe right until you hear the notebook to where you want to move the section, and then double-tap the screen. The focus returns to the Sections list.

Move or copy a page to another section

  1. In the Pages list, tap near the top of the screen with four fingers, swipe right until you hear "Edit," and double-tap the screen. The editing mode is activated.

  2. Swipe right until you hear the name of the page you want to move or copy to another section.

  3. Swipe up or down until you hear "Move" or "Copy," and then double-tap the screen.

  4. Swipe right until you hear the section where you want to move or copy the page and then double-tap the screen. The focus returns to the Pages list.

Close a notebook

You can close a notebook, so it doesn't appear on the Notebooks tab anymore.

  1. To move the focus to the Notebooks tab, tap near the bottom of the screen with four fingers, swipe left until you hear "Notebooks tab," and then double-tap the screen.

  2. Tap near the top of the screen with four fingers, swipe right until you hear "Edit button," and then double-tap the screen.

  3. Swipe right or left until you hear the name of the notebook you want to close.

  4. Swipe up or down until you hear "Close notebook," and then double-tap the screen. You're prompted to confirm closing the notebook.

  5. To close the notebook, swipe right until you hear "Close, button," and double-tap the screen.

    Tip: To reopen a closed notebook, on the Notebooks tab, swipe left or right until you hear "More notebooks button," and double-tap the screen. A list of all available notebooks opens. Swipe right until you hear the notebook you want to reopen and double-tap the screen. The notebook opens and reappears on the Notebooks tab.

Delete a section

  1. In the Sections list, tap near the top of the screen with four fingers, swipe right until you hear "Edit," and double-tap the screen. The editing mode is activated.

  2. Swipe right until you hear the name of the section you want to delete, and double-tap the screen to select it.

  3. Tap near the bottom of the screen with four fingers, swipe left until you hear "Delete, button," and double-tap the screen. You're prompted to confirm deleting the section.

  4. To delete the section, swipe right until you hear "Delete," and double-tap the screen.

Delete a page

  1. In the Pages list, tap near the top of the screen with four fingers, swipe right until you hear "Edit," and double-tap the screen. The editing mode is activated.

  2. Swipe right until you hear the name of the page you want to delete, and double-tap the screen to select it.

Create a notebook

  1. To open the Notebooks tab, slide your finger around the lower-right corner of the screen until you hear "Notebooks tab," and then double-tap the screen.

  2. On the Notebooks tab, slide your finger around the upper-right corner of the screen until you hear "New notebook," and then double-tap the screen. The Create a new notebook dialog box opens. The focus is on the Notebook name text field.

  3. Double-tap the screen, and then use the on-screen keyboard to type the notebook name. When you're done, swipe down-then-left to close the on-screen keyboard.

  4. To select the location where you want to save the notebook, swipe right until you hear "Drop-down list," followed by the currently selected saving location. Double-tap the screen, and then swipe right until you hear the location where you want to save the notebook. To select, double-tap the screen.

  5. To create the notebook, swipe right until you hear "Create button," and then double-tap the screen.

    The new notebook opens. A section with the default name "New Section 1" is automatically added to the notebook. The focus is on the new section.

A typical OneNote notebook is made up of one or more notebook sections. Within each section are the individual pages and subpages on which you take notes.

    Tip: To navigate to the Sections list from the Pages list, swipe left until you hear "Navigate up button," and then double-tap the screen.

  2. Double-tap the screen, and then use the on-screen keyboard to type the section name. Then swipe right until you hear "Create button," and double-tap the screen. When you're done, swipe down-then-left to close the on-screen keyboard.

  3. To create the section, swipe right until you hear "Create button," and then double-tap the screen.

Create a page

In OneNote, you can add as much content to a page as you’d like—you’ll never run out of space. If you’d like to get organized, you can create additional pages at any time.

  1. In the Pages list of a section, swipe right until you hear "Take a new note button," and then double-tap the screen. A new untitled page is created.

    Tip: To navigate to the Pages list from a page canvas, swipe left until you hear "Navigate up button," and then double-tap the screen.

  2. To give the page a title, double-tap the screen with two fingers and then use the on-screen keyboard to type the title.

Rename a section

  1. In the Sections list, swipe right or left until you hear the name of the section you want to rename.

  2. Double-tap and hold the screen to activate the editing mode. You hear: "Entering selection."

  3. Swipe left until you hear "Rename section," and then double-tap the screen. The Rename section dialog box opens. The focus is on the current section name.

  4. Double-tap the screen, and then use the on-screen keyboard to type the new section name. When you're done, swipe down-then-left to close the keyboard.

  5. Swipe right until you hear "Rename," and double-tap the screen. The section is renamed, and the focus moves to the Sections list.

Rename a page

  1. In the Pages list, swipe right or left until you hear the name of the page you want to rename. Double-tap the screen to open the page.

  2. In the page, swipe right until you hear an audio cue. The focus is now on the page canvas.

  3. Double-tap the screen, and then use the on-screen keyboard to type the new page name.

OneNote isn't limited to any particular organizational style. You can arrange your notes in any way that is meaningful to you, and if you change your mind, it's easy to change the way your notes are organized.

For example, you can move a page to another section. If you need a particular page in several places, you can even move a copy of the whole page anywhere you want without having to copy-paste anything.

  1. In the Pages list, swipe right or left until you hear the name of the page you want to move or copy. Double-tap and hold the screen to activate the editing mode. You hear: "Entering selection."

  2. Swipe left until you hear "Copy, move page," and double-tap the screen. The Move to dialog box opens. You hear the name of the current notebook.

  3. To select the notebook where you want to move or copy the page, double-tap the screen. Swipe right until you hear the name of the notebook you want, and then double-tap the screen.

  4. Do one of the following:

    • To move a page, swipe right until you hear the name of the section where you want to move the page, and then double-tap the screen.

    • To copy a page, swipe right until you hear the name of the section where you want to copy the page, and then double-tap the screen. Swipe right until you hear "Not checked, Create a copy, checkbox," and double-tap the screen to select the checkbox. You hear: "Checked."

  5. When you're done, swipe right until you hear "Select button," and then double-tap the screen. The page is copied or moved.

Close a notebook

You can close a notebook, so it doesn't appear on the Notebooks tab anymore.

  1. To open the Notebooks tab, slide your finger around the lower-right corner of the screen until you hear "Notebooks tab," and then double-tap the screen.

  2. On the Notebooks tab, swipe right or left until you hear the name of the notebook you want to close. Double-tap and hold the screen to activate the editing mode. You hear: "Entering selection."

  3. Swipe left until you hear "Close notebook," and then double-tap the screen. The notebook is removed from the Notebooks tab.

    Tip: To reopen a closed notebook, on the Notebooks tab, swipe right or left until you hear "More notebooks," and then double-tap the screen. You hear: "More notebooks." Swipe right until you hear the notebook you want to reopen, and double-tap the screen. The notebook opens and reappears on the Notebooks tab.

Remove a section

  1. In the Sections list, swipe right or left until you hear the name of the section that you'd like to delete. Double-tap and hold the screen to activate the editing mode. You hear: "Entering selection."

  2. Swipe left until you hear "Delete section," and then double-tap the screen. A Delete section? notification window opens.

  3. To confirm deleting the section, swipe right until you hear "Delete button," and then double-tap the screen.

Remove a page

  1. In the Pages list, swipe right or left until you hear the name of the page that you'd like to delete. Double-tap and hold the screen to activate the editing mode. You hear: "Entering selection."

  2. Swipe left until you hear "Delete page," and then double-tap the screen. A Delete page? notification window opens.

  3. To confirm deleting the page, swipe right until you hear "Delete button," and then double-tap the screen.

  2. Press Shift+F10 or the Windows Menu key to open the context menu. Press the Tab key until you hear “Move/Copy,” and then press Spacebar to select. The Move/Copy Section dialog box opens.

  3. Press the Tab key once. You hear "Location," followed by the name of a notebook.

  4. Use the Up and Down arrow keys to navigate to the notebook where you want to move or copy the section and press Spacebar to select it.

  5. Do one of the following:

    • To move the section to the selected notebook, press the Tab key until you hear "Move," and then press Spacebar.

    • To copy the section to the selected notebook, press the Tab key until you hear "Copy," and then press Spacebar.

Move or copy a page to another notebook or section

  1. Press Ctrl+Alt+G to move the focus to the pages pane. Press the Up or Down arrow key until you hear the name of the page you want to copy or move.

  2. Press Shift+F10 or the Windows Menu key to open the context menu. Press the Tab key until you hear: “Move/Copy.” Press Spacebar to select. The Move/Copy Page dialog box opens.

  3. To select the destination notebook for the page, press the Tab key until you hear “Back,” and then press Spacebar. Use the Up and Down arrow keys to navigate to the notebook you want. To select, press Spacebar.

    Note: Make sure the notebook where you want to move or copy the page is opened in OneNote.

  4. Press the Up or Down arrow key until you hear the name of the section where you want to move or copy the page and press Spacebar to select it.

  5. Do one of the following:

    • To move the page to the selected section, press the Tab key until you hear "Move," and then press Spacebar.

    • To copy the page to the selected section, press the Tab key until you hear "Copy," and then press Spacebar.

Close a notebook

You can close a notebook, so it doesn't appear in the list of notebooks anymore.

  1. In OneNote, press Ctrl+G to open the notebook navigation.

  • When you use OneNote for the web, we recommend that you use Microsoft Edge as your web browser. Because OneNote for the web runs in your web browser, the keyboard shortcuts are different from those in the desktop program. For example, you’ll use Ctrl+F6 instead of F6 for jumping in and out of the commands. Also, common shortcuts like F1 (Help) and Ctrl+O (Open) apply to the web browser – not OneNote for the web.

You can use OneNote for the web to go directly to your OneDrive where you can rename notebooks.

  1. In an opened notebook in OneNote for the web, press Ctrl+F6 until you hear “Banner, app launcher,” and press Enter.

  2. Press the Tab key until you hear "Link, OneDrive," and then press Enter. Your OneDrive (onedrive.live.com) opens in a browser.

  3. Use the arrow keys to navigate to the notebook file or the folder containing the notebook file you want to rename. The folder might be called, for example, "Notebooks." To open a folder, press Enter.

  4. When on the correct file, press F2. The Rename dialog box opens. You hear: “Enter your new name.”

  5. Type the new notebook name, and press Enter. The notebook is renamed.

  6. To return to the notebook in OneNote for the web, with the newly renamed notebook selected in OneDrive, press Enter.

Rename a section

  1. In a notebook, press Ctrl+F6 until you hear: "Use this panel to select notebooks, sections, and pages."

  2. Press the Tab key once to enter the list of sections. Press the arrow keys or I until you hear the name of the section you want to rename.

  3. Press Shift+F10 or the Windows Menu key to open the context menu. You hear: "Rename section, menu item." Press Enter. The Section Name dialog box opens, and the focus is in the Enter a section name text field.

  4. Press Ctrl+A to select the current title and then press Delete or Backspace to delete it.

  5. Type the new section name, and then press Enter.

Rename a page

  1. In a notebook, press Ctrl+F6 until you hear: "Use this panel to select notebooks, sections, and pages."

  2. Press the Tab key once to enter the list of sections. Press the arrow keys or I until you hear the name of the section containing the page you want to rename, and then press Enter.

  3. Press Shift+Ctrl+F6 until you hear: "Use this panel to select notebooks, sections, and pages." Press the Tab key until you hear "Page list," followed by the name of the page currently in focus.

  4. Press the arrow keys or I until you hear the name of the page you want to rename, and then press Enter. The focus moves to the page title field.

  5. To delete the current title, press Ctrl+A, and then press Delete or Backspace.

  6. Type the new page title, and press Enter. The focus moves to the page content area, and you can type or edit your notes.

    Tip: To quickly go from the page content area to page title area, press Page up.

Delete a notebook

If you’re sure you no longer need a particular notebook, you can delete it from your OneDrive account. The deleted notebook is moved to the OneDrive Recycle bin. If you are sharing the notebook, make sure you let your colleagues know you are deleting the notebook.

The deleted files are kept in the OneDrive Recycle bin for 30 days for personal accounts. If you're signed in with a work or school account, items in Recycle bin are automatically deleted after 93 days, unless your IT administrator has changed the setting. Before the files are automatically deleted, you can restore the notebook to OneDrive or manually delete it from the OneDrive Recycle bin.

  1. In an opened notebook in OneNote for the web, press Ctrl+F6 until you hear “Banner, app launcher,” and press Enter.

  2. Press the Tab key until you hear "Link, OneDrive," and then press Enter. Your OneDrive (onedrive.live.com) opens in a browser.

  3. Use the arrow keys to navigate to the notebook file or the folder containing the notebook file you want to delete. The folder might be called, for example, "Notebooks." To open a folder, press Enter.

  4. When on the correct notebook file, press Delete. You hear: "Delete, dialog, cancel."

  5. To confirm deleting the notebook, press the Tab key until you hear "Delete button," and then press Enter. The deleted notebook is moved to the OneDrive Recycle bin

  6. If you want to delete the notebook for good from OneDrive or restore it, press the Tab key until you hear "Link," followed by the name of the current page, for example, "Link, recent." Press the Up or Down arrow key until you hear "Link, recycle bin," and press Enter. Then do one of the following:

    • To restore the notebook, press the Tab key until you hear "List of folders and files," followed by the name of the item currently in focus. Press the Up or Down arrow key until you hear the name of the notebook you want to restore, and then press Shift+F10 or the Windows Menu key. Press the Down arrow key until you hear "Restore," and then press Enter.

    • To permanently delete the notebook, press the Tab key until you hear "Empty recycle bin," and press Enter. To confirm permanently deleting all files in Recycle bin, press the Tab key until you hear "Yes," and press Enter.

Delete a section

  1. In a notebook, press Ctrl+F6 until you hear: "Use this panel to select notebooks, sections, and pages."

  2. Press the Tab key once to enter the list of sections. Press the arrow keys or I until you hear the name of the section you want to remove.

  3. Press Shift+F10 or the Windows Menu key to open the context menu.

  4. Press the Down arrow key until you hear "Delete section, menu item," and then press Enter. You hear: "Permanently delete section, alert dialog."

  5. To confirm permanently deleting the section, press Enter.

Delete a page

  1. In a notebook, press Ctrl+F6 until you hear: "Use this panel to select notebooks, sections, and pages."

  2. Press the Tab key once to enter the list of sections. Press the arrow keys or I until you hear the name of the section containing the page you want to remove, and then press Enter.

  3. Press Shift+Ctrl+F6 until you hear: "Use this panel to select notebooks, sections, and pages." Press the Tab key until you hear "Page list," followed by the name of the page currently in focus.

  4. Press the arrow keys or I until you hear the name of the page you want to remove.

  5. Press Shift+F10 or the Windows Menu key to open the context menu. Press the Down arrow key until you hear "Delete page," and then press Enter. You hear: "Delete page, alert dialog."

  6. To remove the page permanently, press Enter.
