People management in Microsoft Project for web 

For users with the appropriate Microsoft Project license, the People view is available in all projects. This view can help project managers quickly assess where team members may be over- or under-allocated and see potential reassignment opportunities for better workload balancing. 

To open the People view, select the People tab in any existing project.

Cards and columns

Each project team member with at least one task assigned to them is represented with a People card which summarizes their assigned tasks. Below each of these is a Task column containing additional information about the person's assigned tasks.

The columns are ordered from left-to-right as follows: The first contains unassigned tasks. Next is the current user (you) followed by all other team members in alphabetical order of first names.

Workload tallies

The default People card view summarizes the current count of Incomplete and Late tasks. You can also enable inclusion of Complete tasks via the View Options menu.

Tally bar scaling 

The people-card tally bars indicate each person’s task (or hour) count relative to that of the team member with the highest total. This enables at-a-glance comparison in relative proportion to the same scale.  People_TeamTally_700px To illustrate, here’s a simple three-person team. Kat Larson has the most tasks, so Kat’s total of 20 tasks becomes the standard bar “length” for all. Cecil Folk has a total of 6 tasks, a relative 30% of 20, as is visually evident in his people card. Amanda Bradly has 14 tasks a relative 70% of 20, as is visually evident in her people card. 

Filtering column contents 

Tasks displayed under People cards can be selectively filtered (turned on/off). On a People card, select a task-type word (e.g., Incomplete or Late) to show only that task type in the column.

View options 

Caution: Selected options and person-specific filtering selections do not persist between sessions. Upon leaving and returning to the People view, all default settings are restored. 

Use the View options panel to change your display settings. These include Show workload by hours/tasks; Compact display mode on/off; and Hide completed tasks on/off

Workload tallies can be calculated and displayed according to Hours or Number of tasks. Select your preference in View options

Compact mode

By default, the task cards in all team member task columns are in the Compact mode – showing only task names for rapid assessment of each person’s assignments. To display task details, de-select the Compact mode button in the View options menu.

Show/hide completed tasks

By default, completed tasks are hidden from view and are not included in People card tallies. To change this, you can de-select the Hide completed tasks button in the View options panel.

Note: While the count of Complete tasks may be excluded from the People card summaries, the completed tasks will still appear in the subordinate columns. 

Subgrouping tasks in columns

Vertical subgrouping can help provide better comprehension of each person’s tasks. Use the drop-down menu to select from the grouping options.

  • Bucket: Shows all user-defined buckets in same order as the Board tab of Project.(Group by bucket is the default setting.)  

  • Progress: Not Started, In Progress, Completed

  • Finish Date: Late, Today, Tomorrow, This Week, Next Week, Future, No Date

  • Labels: All valid labels, Single labels per subgroup

  • Priority: Urgent, Important, Medium, Low

In this example, Group by Priority has been applied. Thus, urgent items appear first in the columns.

Assigning and Reassigning tasks

  • Assign  To initiate a new task for a specific person, select Add task under their People card.

  • Reassign  To reassign an existing task, simply drag and drop into the new assignee location.
