Use a screen reader to manage resources in Project Online

This article is for people who use a screen reader program such as Windows Narrator, JAWS, or NVDA with Windows tools or features and  Microsoft 365 products. Use Project Online with your keyboard and screen reader to add and edit resources in your projects. We have tested it with Narrator, but it might work with other screen readers as long as they follow common accessibility standards and techniques.

Notes: 

  • New Microsoft 365 features are released gradually to Microsoft 365 subscribers, so your app might not have these features yet. To learn how you can get new features faster, join the Office Insider program.

  • When you use Project Online, we recommend that you use Edge as your web browser. Because Project Online runs in your web browser, the keyboard shortcuts are different from those in the desktop program. For example, you’ll use Ctrl+F6 instead of F6 for jumping in and out of the commands. Also, common shortcuts like F1 (Help) and Ctrl+O (Open) apply to the web browser – not Project Online.

Add a new resource

Tip: You can change all details of a resource after it's been created, so you don't have to define all of them now. For more information, refer to Edit a resource.

  1. After opening Project Online, press Ctrl+F6 until you hear: "Projects, Project Center tools group, tab 2 of 2."

  2. Press the Tab key repeatedly until you hear "Resources, link," and then press Enter. The Resource Center view loads, and the focus moves to the top left corner of the grid.

  3. Press Ctrl+F6. You hear: "Resource Center, Resources, tools group, tab 2 of 2." Press Enter to expand the menu ribbon.

    Note: If you hear "Browse" instead of "Resources," press the Tab key to move the focus to the Resources group, and then press Enter.

  4. You hear: "Resources tab, 2 of 2, New, button." Press Enter. The New Resource view loads.

  5. When you hear "New Resource, Display Name, editing, required," the view has completed loading and you can type a name for the resource.

  6. Display Name is the only required field for a new resource. If you want to fill in more information, press the Tab key to move to each new field. Narrator announces the field name, after which you can type or select a value for the field.

  7. Press Shift+Tab repeatedly until you hear "Save, button," and then press Enter to finish adding the resource. The focus moves back to the top left corner of the Resource Center grid. The resource you created is on the last row of the grid.

Select a resource

You can select one or more resources for editing or reading their assignments.

  1. After opening Project Online, press Ctrl+F6 until you hear: "Projects, Project Center tools group, tab 2 of 2."

  2. Press the Tab key repeatedly until you hear "Resources, link," and then press Enter. The Resource Center view loads, and the focus moves to the top left corner of the grid.

  3. Press the Right arrow key once to move to the Resource Name column of the grid.

  4. Press the Down arrow key until Narrator announces the name of the resource you want to select, for example: "Jane Smith, selected, read only, row 3 of 4, Resource Name."

  5. Press the Left arrow key once to move to the row selection check box. Narrator announces whether it is checked or unchecked. Press the Spacebar to check or uncheck the box.

  6. If you want to select more resources, repeat steps 3 to 5 until you are done.

Edit a resource

  1. After selecting the resources you want to edit as described in Select a resource, press Ctrl+F6. You hear: "Resource Center, Resources, tools group, tab 2 of 2." Press Enter to expand the menu ribbon.

    Note: If you hear "Browse" instead of "Resources," press the Tab key to move the focus to the Resources group, and then press Enter.

  2. You hear: "Resources tab, 2 of 2, New, button." Press the Tab key to move to the Edit button, and press Enter. You hear "Edit Resource," followed by the current resource name.

  3. If you want to change the resource name, use your keyboard to delete the current name and type a new name.

  4. If you want to edit or fill in other fields, press the Tab key to move to each new field. Narrator announces the field name, after which you can type or select a value for the field.

  5. To save your changes and move to the next selected resource, press Shift+Tab repeatedly until you hear "Save and Continue, button," and press Enter.

    Tip: If you want to cancel your changes to the current resource and move to the next selected resource, press Shift+Tab repeatedly until you hear "Continue without Saving, button," and press Enter.

  6. Repeat steps 3 to 5 for each selected resource.

    Tip: If you want to skip making changes to all remaining selected resources, press Shift+Tab repeatedly until you hear "Cancel Remaining, button," and press Enter.

  7. After saving or canceling your changes to the last selected resource, the focus moves back to the top left corner of the Resource Center grid.

Read resource assignments

The Resource Assignments view lists the current tasks and projects of each selected resource.

  1. After selecting the resources as described in Select a resource, press Ctrl+F6. You hear: "Resource Center, Resources, tools group, tab 2 of 2." Press Enter to expand the menu ribbon.

    Note: If you hear "Browse" instead of "Resources," press the Tab key to move the focus to the Resources group, and then press Enter.

  2. You hear: "Resources tab, 2 of 2, New, button." Press the Tab key repeatedly to move to the Resource Assignments button, and press Enter. The focus moves to the top left corner of the Resource Assignments grid, which contains the name of the first selected resource. You hear: "Outline level 1, click to collapse Resource Name," followed by the resource name.

  3. Use the arrow keys to navigate the grid and hear Narrator read out the information in each cell. The grid has the following columns from left to right:

    • Task Name

    • Work

    • Remaining Work

    • Start

    • Finish

    • % Work Complete

    • Comments

    • Resource Name

    • Project Name

  4. To return to the Resource Center view, press Ctrl+F6, press the Tab key repeatedly until you hear "Resource Center, button," and then press Enter. The focus moves back to the top left corner of the grid.
